Trek Go India Policies

Booking & Refund Policy

Welcome to Trek Go India. This Booking & Refund Policy explains the terms for booking our trekking, tour, pilgrimage, and adventure packages, including payment, cancellation, and refund procedures.

A 30% advance payment is required to confirm a booking and is non-refundable, subject to applicable law. The remaining 70% must be paid on the first day at the designated pickup location, before the journey begins.

Customers are advised to read this policy carefully before confirming their booking.

Booking Confirmation

Customers can book trekking, tour, and travel packages through the official Trek Go India website or authorised booking channels. A booking is confirmed once the required advance payment is received and confirmation is provided by our team.

Advance Payment

Customers must pay 30% of the total package cost as an advance payment to confirm their booking and secure their seats. The advance payment is non-refundable, subject to applicable law and mandatory customer rights.

Remaining Payment

The remaining 70% of the total package cost must be paid on the first day of the trip at the designated pickup location, before the journey or scheduled activities begin. Customers are requested to ensure that the full balance is paid on time to avoid delays or disruption to the trip.

Package Inclusions and Exclusions

Customers should carefully review the package details before booking. Transportation, accommodation, meals, guides, permits, and trekking equipment are included only if specifically mentioned in the selected package.

Customer Responsibilities

Customers must provide accurate booking details, arrive at the designated pickup location on time, carry the required documents, and follow the safety instructions provided by trek leaders and trip coordinators.

Booking Changes and Cancellation

Requests to change travel dates, participant details, or package services are subject to availability and approval. Cancellation charges and refund eligibility will be governed by the applicable Cancellation Policy and Refund Policy.

Safety and Trip Modifications

Trek Go India may modify an itinerary or activity schedule due to adverse weather, road closures, government restrictions, or other operational and safety concerns.

Refund Eligibility

A booking requires an advance payment of 30% of the total package cost. This advance is non-refundable, subject to applicable law and mandatory customer rights. The remaining 70% must be paid on the first day of the trip at the designated pickup location.

Cancellation by the Customer

If a customer cancels a confirmed booking, the 30% advance payment will generally not be refunded, subject to applicable law. Refund eligibility for any additional amount paid will depend on the applicable cancellation terms and services or expenses already incurred.

Cancellation by Trek Go India

If Trek Go India cancels a trip, customers will be informed as soon as reasonably possible. Eligible refunds or alternative arrangements will be communicated based on the circumstances, applicable package terms, and law.

Weather and Safety Conditions

Trips may be modified, postponed, or cancelled due to severe weather, landslides, road closures, natural disasters, government restrictions, or other safety concerns. Refund eligibility will depend on the circumstances, package terms, and applicable law.

Third-Party Expenses

Certain costs, including permits, transport tickets, accommodation bookings, and third-party services, may be non-refundable where the provider’s terms apply. Any deductions will be subject to the terms communicated before booking and applicable law.

Duplicate or Excess Payments

Verified duplicate payments or excess payments will be reviewed, and eligible amounts will be refunded after verification.

Refund Processing

Approved refunds will be initiated through the original payment method where possible. Processing times may vary depending on the bank, payment gateway, or financial service provider.

How to Request a Refund

Customers should contact our team with their booking ID, registered name, payment details, and reason for the request. Our team will review the request and communicate the applicable decision.

Cancellation Trems & Conditions

At Trek Go India, we understand that trekking and travel plans require time, preparation, and financial commitment. We also understand that unforeseen circumstances can sometimes make it necessary to cancel or change a booking.

As a local trekking and tour operator based in Sankri, Uttarakhand, we make advance arrangements for transportation, accommodation, meals, trekking equipment, permits, guides, trek leaders, and ground support.

This Cancellation, Rescheduling & Refund Policy explains the terms applicable to bookings made directly with Trek Go India for Himalayan treks, adventure tours, sightseeing packages, and pilgrimage tours.

By confirming a booking with Trek Go India, the customer acknowledges the applicable booking terms and cancellation conditions communicated before payment.

How to Request a Cancellation

All cancellation requests must be submitted in writing through our official WhatsApp number or email address.

Customers must provide their full name, booking ID, trip name, departure date, number of participants, and reason for cancellation.

The applicable cancellation period will be determined according to the date and time the written request is received, subject to the booking terms. Customers should retain written confirmation of their cancellation request.

Cancellation Charges and Refund Eligibility

Cancellation charges depend on the number of days remaining before the scheduled departure date.

The following proposed cancellation schedule must be confirmed by Trek Go India and communicated to customers before booking.

Cancellation periodProposed refund
30 days or more before departure90%
15–29 days before departure70%
7–14 days before departure50%
0–6 days before departureNo standard refund

Cancellation charges may cover applicable administrative expenses, advance payments, accommodation arrangements, transport bookings, permits, and other non-recoverable supplier costs, where applicable and legally permissible.

Any deductions will be consistent with the booking terms disclosed before payment and applicable consumer protection laws.

Cancellation of Advance Bookings

Many Trek Go India trips require an advance payment to confirm a seat and arrange transportation, accommodation, permits, guides, meals, and trekking equipment.

If a customer cancels after making an advance payment, the refund will be determined according to the applicable cancellation schedule and the terms disclosed at the time of booking.

An advance payment is not automatically non-refundable in every situation. Any non-refundable component must be clearly communicated before payment and comply with applicable law.

Group Booking Cancellations

For group bookings, the cancellation of one or more participants may affect transportation, accommodation, room allocation, permits, and other arrangements.

If an individual participant cancels, the refund will be calculated according to the applicable cancellation policy and agreed group booking terms.

If a reduction in group size changes the package cost per person, any additional charges must be communicated clearly and handled according to the original booking agreement.

Separate cancellation conditions may apply to private groups, corporate trips, customized itineraries, and large group bookings if disclosed and accepted before confirmation.

Cancellation by Trek Go India

Trek Go India may need to cancel or modify a trip due to operational difficulties, safety concerns, government restrictions, road closures, or other circumstances that prevent the trip from operating as planned.

If Trek Go India cancels a trip before departure for reasons within its control, affected customers will be informed as soon as reasonably possible and offered an appropriate refund or rescheduling option in accordance with the booking terms and applicable law.

If a trip cannot proceed due to circumstances beyond Trek Go India’s reasonable control, the available refund or alternative arrangements will depend on the services already paid for, recoverable supplier payments, the disclosed package terms, and applicable legal requirements.

Weather Conditions and Safety-Related Cancellations

Trekking and mountain travel are affected by changing weather conditions. Heavy snowfall, rainfall, landslides, road blockages, extreme temperatures, poor visibility, and unsafe trail conditions may require changes to the itinerary.

For safety reasons, Trek Go India may postpone a departure, modify the route, change a campsite, suspend an activity, or cancel a trek when conditions are considered unsafe.

If a trip is cancelled before departure because of weather or safety conditions, customers will be informed about available options, which may include rescheduling, an alternative itinerary, or an eligible refund under the disclosed booking terms and applicable law.

If the trip has already started, the itinerary may be adjusted to protect participants. Refund eligibility for unused services will depend on the circumstances, recoverable supplier payments, the agreed package conditions, and applicable law.

The safety of customers, trek leaders, guides, and support staff remains our priority.

Natural Disasters and Unforeseen Circumstances

Events such as floods, landslides, earthquakes, severe storms, wildfires, road closures, public emergencies, government orders, and other circumstances beyond reasonable control may affect scheduled trips.

In such situations, Trek Go India will assess the conditions and communicate the safest available option to customers.

Depending on the circumstances, options may include rescheduling, changing the route, arranging an alternative service, or processing an eligible refund after accounting for lawful and applicable non-recoverable costs.

Trek Go India will make reasonable efforts to assist affected customers. This policy does not remove any refund or consumer rights available under applicable law.

Cancellation After the Trip Has Started

Once a trek, tour, pilgrimage, or travel package has commenced, some services may already have been delivered or paid for. These may include transportation, accommodation, meals, permits, guide services, equipment, and other arrangements.

If a customer decides to leave the trip early, discontinue the trek, miss an activity, or return before the scheduled end date for personal reasons, a refund is not guaranteed.

Any refund for unused services will be assessed according to the package terms, recoverable payments, the reason for early departure, and applicable law.

If Trek Go India shortens or changes the itinerary for safety or operational reasons, available alternatives or refunds will be communicated based on the circumstances and applicable terms.

Medical and Personal Emergencies

If a customer needs to cancel because of illness, injury, a family emergency, or another serious personal circumstance, Trek Go India may review the request individually.

Customers may be asked to provide reasonable supporting documentation where necessary. The availability and amount of any refund will depend on the cancellation schedule, payments already committed, supplier policies, and applicable law.

Medical or personal emergencies do not automatically guarantee a full refund. However, customers may contact our team to discuss alternatives, including rescheduling where available.

We recommend considering suitable travel insurance that covers trip cancellation, medical emergencies, and adventure activities.

No-Show Policy

A no-show occurs when a customer fails to report at the designated pickup point, meeting location, or departure time without providing timely notice to Trek Go India.

Customers are responsible for arriving at the confirmed pickup point on time and informing our team of any delays.

If a customer does not join the trip and has not arranged an alternative in advance, the booking may be treated as a cancellation on the departure date. The applicable cancellation terms will apply, and no standard refund will generally be available, subject to the booking agreement and applicable law.

Third-Party Services and Bookings

Some travel packages may include services provided by third parties, such as hotels, guesthouses, campsites, transport operators, airlines, railway services, local activity providers, and permit authorities.

Refunds for these services may depend on the relevant provider’s cancellation rules and whether the payment can be recovered.

Where third-party charges affect the customer’s refund, Trek Go India will communicate the applicable deductions and conditions as clearly as reasonably possible.

This section does not limit any rights or remedies available to customers under applicable law.

Rescheduling and Date Changes

Customers who wish to change their departure date should contact Trek Go India as early as possible.

Rescheduling requests are subject to seat availability, weather conditions, transportation, accommodation, permits, and other operational requirements.

A date change may involve a difference in package price or additional supplier charges. Any applicable charges will be communicated before the change is confirmed.

If rescheduling is not possible, the original cancellation terms may apply. A booking will be considered rescheduled only after confirmation from Trek Go India.

Promotional Offers and Discounted Packages

Special offers, early-bird prices, seasonal discounts, and promotional packages may have specific booking and cancellation conditions.

Any special cancellation terms must be clearly communicated before the booking is confirmed. If no separate conditions have been disclosed and accepted, the applicable standard cancellation policy will apply, subject to law.

Customers should review the offer details and cancellation terms before making payment.

Refund Processing

Once a refund has been approved, Trek Go India will inform the customer of the approved amount and the expected processing timeline.

Refunds will generally be issued through the original payment method wherever possible. The time taken for the amount to appear in the customer’s account may depend on the bank, payment gateway, or financial institution.

If additional information is required to process a refund, customers should provide it promptly.

Any applicable deductions will be explained to the customer. Approved refunds will be processed within the communicated timeframe, subject to payment-provider processing and applicable legal requirements.

Customer Responsibilities

Customers are responsible for reviewing the itinerary, departure date, inclusions, exclusions, payment conditions, and cancellation terms before confirming a booking.

Customers should provide accurate contact information and promptly notify Trek Go India of any changes affecting their participation.

Customers are encouraged to retain booking confirmations, payment receipts, and written communication relating to cancellation or rescheduling requests.

Policy Updates

Trek Go India may update this Cancellation Policy when operational requirements, service arrangements, or legal requirements change.

The policy applicable to a confirmed booking will be determined by the terms communicated and accepted at the time of booking, subject to applicable law. Changes to this policy will not override customers’ existing legal rights.

Customers should review the current policy on our website before making a new reservation.
